Responsibilities

Assist in the use of TCO operational policies and procedures and the timely implementation of support activities in the Dodoma Regional Office and contribute to recommendations for the improvement of internal control systems according to existing conditions.

Under the general supervision of the Dodoma Regional Governor's Office, in accordance with policies, procedures, rules and regulations, the operational partners serve as the main assistants for the implementation of broad operations and administrative support functions, which may include staff coordination of administration. participate in functional areas such as HR, Finance, IT Registration, Supply & Logistics and Shipping as indicated by the needs and structure of the organization.

Assists in planning operations department meetings, including recording minutes and/or notes in those meetings and any other online Field Office meetings related to operations, security and ICT.

Provides operational support related to FO support by (a) collecting and maintaining approved data records and expenditures on FO support budgets; (b) monitor FO performance indicator reports; (c) a monitoring and reporting system for tracking pending audit proposals to ensure timely review and response to audit questions arising from audits by FOs and COs; and (d) maintain a monitoring system for the monitoring of Financial Assistance at the country level to the Government in COs to reduce the aging of DCT/HACT;

Support in HACT assurance activities

Obtains required information by searching internal databases, Intranet and/or Internet, and/or gathering from appropriate sources/

Informs supervisor of potential problem areas, provides recommendations for follow-up actions, prepares reports and evaluations on administrative, operational or special tasks.

Provides travel assistance to employees for travel arrangements and entitlements in accordance with the laws and policies of the organization

Assists in the preparation of travel expense budgets and maintains travel budget control records

Handles travel claims

Briefs/briefs staff on matters related to administrative matters such as security clearance and documentation procedures.

Assists in the purchase/management of administrative equipment, office equipment and vehicles

Maintains inventory of office supplies

Establishes a tracking system for office equipment

It ensures that the services and maintenance of buildings and equipment are in accordance with the standards of the organization

Facilitate monitoring and implementation of HACT assurance activities/recommendations

Maintains hard and electronic files related to supervisor, updates data bases to ensure timely and appropriate recording, storage and disposal of information.

Provide general logistical support to guests and private contractors for service and physical space planning

Draft estimates of field office buildings, equipment and supplies requirements for budget preparation purposes

Raise Vision documents and monitor the office budget in close cooperation with the Dar es Salaam Office

Maintains Petty Cash account (records expenditures and replenishes petty cash), maintains office property register, ensures timely requests for office supplies, collects pro-forma invoices from office vendors and other service providers, liaises with Dar es Salaam to enable timely payment; supports financial forecasting for the field office

Plans and/or attends meetings on day-to-day administrative matters, participates in discussions of new or revised procedures and practices, interprets and evaluates the impact of changes, and makes recommendations for follow-up actions.

Participates in United Nations Joint Services meetings and serves as a focal point in the field office for HACT quality assurance activities.

Coordinate meetings with all UN planners in a joint office

Coordinates logistical arrangements including transportation, accommodation and event planning for the field office

Monitors staff compliance with office travel guidelines and procedures
